ZNAPS Membership Insights Modernisation

A national membership organisation uses iMIS to manage member records, renewals, and long‑term membership analytics. Leadership required accurate, repeatable membership statistics to support governance reporting and strategic decision‑making.
While core data existed in iMIS, historical insight and reliable monthly trend reporting were difficult to produce without significant manual effort.
The Challenge
The organisation needed a robust, automated reporting framework that could:
Track total members and new members by member type over time
Incorporate historical membership data for trend analysis from day one
Produce defensible metrics such as renewal rate, average tenure, and steady state
Present these insights clearly within iMIS using visual dashboards
Extract information to use in reports.
The Solution: ZNAPS
The organisation licensed ZNAPS and engaged Zephyr to create reports that helped the organisation and leadership track and monitor trends.
Data Capture & Automation
ZNAPS Capture IQAs recorded:
Total member counts by member type
New monthly member counts by member type
Configured ZNAPS snapshots to run automatically on the 1st of every month
Ensured consistent, auditable data capture via the ZNAPS execution framework
Historical Data Foundation
Loaded historical membership data into ZNAPS to establish a complete reporting period
Reporting Architecture
Crafted four purpose‑built IQAs:
Reporting Base Dataset – a consolidated monthly data foundation
Renewal Rate – using total members and new members to calculate retention
Average Tenure – derived from longitudinal membership trends
Steady State – identifying equilibrium points in member growth and churn
All calculations were validated to ensure statistical accuracy and repeatability.
Visualisation & User Experience
Added a new “Membership Statistics” page under the iMIS Membership theme
Designed and embedded three vertical bar graphs:
Renewal Rate
Average Tenure
Steady State
Visuals are driven directly from ZNAPS extract datasets, ensuring they always reflect the latest data
This was then viewable by the CEO, an unlicensed iMIS user, putting less pressure on staff to extract data, calculate figures, and produce reports.
Outcomes
ZNAPS snapshots run each month as scheduled
Historical and current data were aligned and are available for viewing
Consistent reporting base datasets validated and trusted by stakeholders
Three key membership metrics visualised and accessible in iMIS
Board and leadership reporting moved from manual effort to automated insight
The organisation now has a governed, transparent, and future‑proof membership analytics framework, supporting confident decision‑making and long‑term planning.
