Queensland Justices Association (QJA), a Queensland-based membership-based organisation operating in a regulated environment, was entering a period of transition. With changes at the governance and operational levels, they wanted to ensure that its systems, particularly iMIS, were aligned with its future direction, scalable, and used effectively by staff. They engaged Zephyr Consulting for a professional iMIS review to surface inefficiencies and unlock untapped value.


Challenge

QJA already used iMIS to manage membership, its website, reporting, and integrations with other systems, but recognised there was more potential value to be unlocked.


The organisation's key challenges included:

  • Limited staff confidence in iMIS functionality

  • Inconsistent membership structures, pricing logic, and customer types

  • Manual or cumbersome reporting processes

  • Unclear membership journeys and engagement strategies

  • A website and member portal that had grown organically, rather than strategically

At a time when the organisation was reassessing its membership structure and pricing, leadership wanted clarity before committing to further changes.


The Engagement

The client engaged Zephyr Consulting, an iMIS-certified consultancy, for 10-15 hours to:

  • Identify inefficiencies and risks

  • Pinpoint opportunities for simplification and improvement for both the customer (website/ database), and for the staff (reports/data/set-up view)

  • Gain practical, prioritised recommendations

  • Build confidence in decision‑making at both staff and Board levels.

 

Zephyr’s Approach

  • Structured discovery questions covering strategy, pain points, and goals

  • A detailed review of the organisation’s live iMIS environment by iMIS‑certified consultants

  • Assessment across key areas, including:

    • Website and member portal

    • Membership structure and journeys

    • Security and permissions

    • Staff capability and training

    • Integration with other systems.

The review delivered several immediate benefits:

The organisation received a prioritised set of recommendations, separating:

This made it easier to plan work in stages rather than attempting too much at once.


Confidence in Strategic Decisions

One major outcome was clarity around membership structure — reduced from 35 categories to just two. This simplification aligned with Zephyr’s recommendations and will significantly reduce complexity in billing, reporting, and member experience.

The review highlighted that core decisions around membership and pricing needed to be finalised first — ensuring future website changes were based on stable, well‑designed organisational foundations.

 

Improved Understanding of iMIS Capability

Through the review, staff gained a better understanding of:

  • What iMIS can do out‑of‑the‑box

  • Where configuration would deliver value

  • How to improve self‑service, reporting, and data management

 

This reduced reliance on trial‑and‑error and increased confidence in using the system.
